1. Workspace Onboarding & Account Management
Common questions regarding workspace creation, user roles, and client permissions.
1. As an Agency Administrator, navigate to Agency Overview (/agency/overview).
2. Click "Add Client Workspace".
3. Enter the client's company name, unique workspace slug (e.g. ws_globex), target industry, and core value proposition.
4. Assign team members (Account Managers or SDRs) and click Create Workspace. The client workspace is immediately isolated with its own private database partition.
Yes, 100%. You can invite client stakeholders with the Client Executive (Read-Only) role. When they log in, they are restricted to the Client Portal (/portal/[workspaceId]), where they can only view aggregate campaign performance, booked meetings, and lead pipelines for their specific company. PostgreSQL Row-Level Security (RLS) cryptographically blocks access to any other agency client data.
2. Lead Capture, Enrichment & Scoring
Troubleshoot lead imports, duplicate detection, and "Hot Lead" AI qualifications.
The platform runs Automated Deduplication during import. If a lead's email or company domain has already been contacted within the last 30 days in any active campaign, or appears on your workspace suppression list, the import engine flags it as DUPLICATE_SUPPRESSED and prevents double-outreach.
The qualification engine compares the prospect against two weighted factors:
- ICP Fit (50%): Exact title match (e.g. VP Sales), target company size (e.g. 100-500 FTE), and geography.
- Real-Time Buying Signals (50%): Active hiring spikes, recent funding rounds, tech stack adoption, or executive leadership changes.
Leads with both high ICP fit and a recent signal receive a score ≥ 0.80 and are prioritized for high-touch outreach.
3. Campaigns, Deliverability & Send Gates
Understand sending quotas, DNS records, and the 7-Point Pre-Send Hard Gate.
To protect your sending domains from blacklisting, the Dynamic Circuit Breaker pauses a campaign if:
- Bounce Rate > 3.0% across the last 100 sends.
- Spam Complaint Rate > 0.1%.
To safely resume:
- Go to Campaign Settings > Deliverability.
- Inspect failed leads and run verification to discard invalid emails.
- Click "Reset Circuit Breaker & Resume".
The gate blocks emails if any of the following occur:
- The prospect's email MX records failed verification.
- The prospect or company is on the workspace suppression/opt-out list.
- An unresolved merge placeholder exists (e.g.
{{first_name}}was missing from the lead record). - The physical compliance footer or opt-out link is absent.
- The sending mailbox has exceeded its 40 email/day limit.
- The current time is outside the prospect's local working hours (8:30 AM – 5:30 PM).
4. Lead Nurturing, AI Copilot & Review Queue
How to use AI suggestions, handle objections, and route messages for human approval.
1. Open the prospect thread in the Unified Inbox (/workspaces/[id]/inbox).
2. Review the prospect's reply (e.g., asking about pricing or comparing you to a competitor).
3. Click "Generate AI Reply".
4. The AI analyzes the thread and your client's value proposition, generating a grounded response with zero hallucinated pricing. You can edit the text or click Send immediately.
In Campaign Settings, you can enable 10% Traffic Sampling or Dry-Run Mode. Any email caught by sampling or answering sensitive objections is diverted to the Review Queue tab.
A human operator must click Approve or Edit before the email can physically be transmitted, guaranteeing human supervision on all sensitive conversations.
The AI reply classifier detects the UNSUBSCRIBE intent with 100% recall. The platform immediately:
- Halts all future automated sequence steps for that lead.
- Adds the lead's email and company domain to the Workspace Suppression List.
- Ensures that no team member can accidentally re-import or email that prospect again, fully complying with CAN-SPAM and GDPR requirements.
5. Meeting Booking & CRM Synchronization
Pre-meeting briefings, calendar bookings, and CRM integration workflows.
Go to Settings > Integrations > Calendar. Paste your Calendly or Cal.com scheduling link (or connect Google Calendar). When the AI Copilot drafts replies to interested prospects, it automatically inserts this scheduling link so prospects can book a time with one click.
When a prospect books a call, the AI generates a comprehensive briefing dossier for your Account Executive containing:
- Executive Bio & LinkedIn: Verified title, tenure, and background.
- Company Profile: Headcount, estimated revenue, and current software stack.
- Conversation History: Summary of why they agreed to take the call.
- 3 Suggested Discovery Questions: High-leverage questions tailored to their stated business challenges.
Under Settings > Integrations > CRM, connect your HubSpot or Salesforce API token. The platform creates or updates the Contact, attaches the full email activity history, creates a Deal in the "Discovery Call Booked" stage, and posts the AI Meeting Brief into the CRM notes field.
